Event Photojournalism Process and Deliverables

This FAQ covers how a booking moves from inquiry to gallery—what we need from you, what happens on site, and what you receive after a conference, gala, or nonprofit event in the DMV.

Booking

How do we start?
Send the date, venue, room list, hours, guest count if you have it, and what the photographs are for. Include the deadline for the first files if a recap email or donor note depends on them.

What happens next?
You receive a written proposal covering hours, staffing, delivery, and usage. A signed agreement and deposit hold the date. The remaining balance follows the contract.

When should we book?
As soon as the venue is confirmed. Convention weeks, fall galas, and peak spring dates in Washington go first.

Before the event

What do you need from us?

  • Run-of-show with exact room names
  • Must-have speakers, honorees, sponsors, and officers
  • Venue photography rules
  • On-site contact with phone access
  • Delivery deadline and who receives the gallery

A short list of named people is more useful than a long posing checklist.

Who plans official group photos?
You do, on the timeline. We will make those frames when they are scheduled. We will not stop a reception to invent them.

On site

What is your working style?
Documentary. We cover arrivals, program, networking, and reception as they happen and stay off the stage.

How many photographers will be there?
The proposal states the staffing. One photographer covers a single-track meeting or dinner. Two photographers are used when rooms or chapters of the event overlap—registration and keynote, foyer and ballroom, conference and gala.

What if the agenda changes?
The on-site contact tells us. We follow the live program within the contracted hours.

Do you coordinate with the venue and AV team?
Yes. In DC hotels, museums, historic houses, and convention spaces, that coordination is part of the job.

Deliverables

What do we receive?
An edited gallery of high-resolution files and web-ready images. The set includes program moments, candid guest interaction, selected details, and any official frames that were on the timeline.

Do we get every photo you took?
No. Near-duplicates, technical misses, and unusable frames are not delivered. The gallery is edited.

Are raw files included?
Not as a standard deliverable. If raw files are required, that must be in the agreement before the event.

How fast is delivery?
Rush highlights can be next-day—or sooner—when they are part of the booking. The full gallery follows the timeline in your contract. A two-hour reception and a three-day conference do not deliver on the same clock.

How is the gallery delivered?
Through an online gallery. Download files for your archive. Gallery hosting is not permanent storage.

How long does the gallery stay up?
For the period stated in the agreement. Save what you need before the link expires.

Usage

Who owns the photographs?
Copyright and usage are defined in the contract. Organizations typically receive a license for communications, recaps, reports, websites, and press.

Can sponsors use the images?
Only if that use is specified in advance. Third-party advertising and unrestricted commercial licensing are not implied.

Can we crop, filter, or run the files through AI tools?
Follow the usage terms in the agreement. If you need files for heavy retouching, paid ads, or third-party campaigns, say so when you inquire.

After delivery

What if we need more coverage next year?
The same process applies: date, venue, hours, staffing, deadline. Multi-year or multi-event work can be scoped once the first booking is in place.

How do we inquire?
Phone or email with the basics above.
