Do you cover multi-day conferences?
Yes. Multi-day programs are a core part of our work. We can staff opening sessions, breakouts, exhibit halls, evening receptions, and closing programs.
Can you photograph concurrent sessions?
Yes. When two or more rooms run at the same time, we recommend additional photographers so keynotes, panels, and networking are all covered.
Do you offer on-site headshots at events?
Yes. Headshot stations can be added to conference or corporate coverage when organizations want updated portraits during the same event.
Do you travel outside the DC metro area?
Yes. We regularly work throughout the DMV and travel for destination or national meetings. Travel is quoted based on location and schedule.

How far in advance should we book?
For large conferences, galas, and peak DC seasons, 4โ8 weeks is a practical minimum. Major multi-day meetings are often reserved several months ahead. Smaller events can sometimes be booked with shorter notice if the date is open.

How is a date reserved?
A signed agreement and deposit reserve the date. Pre-event planning follows so the team arrives with a clear run-of-show.
What should we send before the event?
A detailed agenda, floor plan or room list, branding guidelines, VIP or speaker priorities, any photography restrictions, and communications contacts for same-day delivery.

How much does event photography cost in Washington DC?
Pricing is custom and depends on hours, number of photographers, venue complexity, turnaround speed, and usage needs. Smaller receptions and half-day assignments sit at one end of the range; multi-day conferences and rush commercial packages sit at the other. How many photographers do we need?

Do you need a shot list?

Can you work around AV, staging, and house lighting?
Yes. Conference and gala work often involves mixed lighting, LED walls, and tight stages. We plan for that and stay coordinated with production teams.
Do you carry backup equipment and insurance?
Yes. Professional coverage includes redundant cameras, lenses, power, and storage. We can provide a certificate of insurance when a venue requires it.
Delivery & Usage
When will we receive photos?
- Highlights: often available the same day or next day when expedited delivery is booked
- Full edited gallery: commonly within about 5โ14 business days, depending on event size and the agreement
How are images delivered?
Through a private online gallery of professionally edited, high-resolution files, with web-ready versions available for communications teams.
How many images will we receive?
Delivery is curated for quality and usefulness. Volume depends on hours, staffing, and the pace of the event. A focused half-day program yields a smaller set; a full conference produces a much larger segmented gallery.
Who owns the photos, and how can we use them?
We typically retain copyright and grant the client a usage license for communications, marketing, social media, press, and archival use, as specified in the contract. Broader advertising or third-party commercial use should be confirmed in writing before the event.
Can images be used by sponsors or media?
If sponsors or media need rights, say so in the briefing so licensing is included in the proposal.
Do you provide raw, unedited files?
Standard delivery is edited, professional files. Raw delivery is not typical for event work unless specifically contracted.

Do you photograph galas and fundraisers?

How do you handle formal programs and candid networking in the same evening?
We plan the run-of-show so speeches and awards are covered, then shift to unobtrusive candids during cocktails and dancing.
